Essential Duties & Responsibilities
Duties include but are not limited to the following as other duties may be assigned.


Administrative
• Provides an exceptional patient experience through compassionate interaction with patients, keeps patients informed and conducts waiting room rounding; positively impacts patient wait time and wait time perception.
• Meets and greets Healthcare Center patients and visitors, interfacing with them and the general public in a professional, courteous, and sensitive manner.
• Ensures smooth patient flow by ensuring prompt attention to accessing patient charts and necessary medical records.
• Assists in screening all patients for correct billing and financial information. Determines payment source based on information given (i.e., ability to pay, insurance coverage, Medicaid, etc.)
• Accepts and reconciles patient co-payments and submits payments to the Office Administrator on a daily basis.
• Schedules Healthcare appointments and performs appropriate reminder procedures.
• Reviews patient intake materials for accuracy and completeness.
• Ensures up-to-date patient information on computer systems and patient medical records.
• Maintains stock of all Healthcare Center forms and patient brochures, keeping them organized for convenient access.
• Assists with the maintenance of the office supply cabinet.
• Utilizing AID Atlanta approved computer information systems, provides data entry for services and billing information. Ensures that all data entry is performed daily and accurately.
• Enters all patient data into computer systems and maintains patient information systems up-to-date.
• Coordinates providers' schedules and maintains appointment templates on system, resolving any scheduling conflicts that arise.
• Sorts incoming mail and routes to appropriate staff, identifying priority materials.
• Coordinates with appropriate staff for patient referrals.
• Scans and indexes patient documentation from new patient packets, annual updates, identification, insurance coverage and consultation or imaging reports as they are received.
• Attends meetings and conference calls for training on a regular basis including CPS and EMR systems as well as RSR and Ryan White specific documentation required.


Benefits Coordination
• Conducts interactive face-to-face interviews with clients to determine eligibility for contracted public benefits issued by the respective county, state, or federal funders. This includes obtaining pertinent information that is required by the funders as indicated within the contract. Such programs include but are not limited to the AIDS Drug Assistance Program (ADAP) and Ryan White Part A funding.
• Works closely with the Revenue Cycle Team to ensure all information for billing purposes is provided accurately and maintained accordingly. Also collaborates with the Grants and Contracts Department to ensure accurate county/state/federal reporting for proper reimbursement of services rendered.
• Verifies benefit eligibility and scope of benefits for third party payers such as those with private insurance and those insured through a state/federal funder such as Medicare and/or Medi-Cal.
• Assists clients in the completion of benefit applications such as Unemployment, General Relief, Food Stamps, etc. Also makes the appropriate referrals for any and all county, state, and/or federal programs when such services are not available within the respective healthcare center.
• Monitors status of benefit applications and recertification’s. Provides follow up on pending applications to ensure timely enrollment/ eligibility.
• Ensures appropriate documentation of patient eligibility and benefits information is maintained within the patient’s chart and within the healthcare center’s EMR. Also maintains information within any county, state, or federal database as required by the contracting agencies.
• Monitors all internal and external reports related to the benefits department for assigned healthcare center(s).
• Provides coverage at other HCC locations as needed, at the direction of the Office Administrator, Benefits Manager, or Director of Healthcare Operations. This includes providing front office coverage when requested.
• Coordinates with Nurse Case Managers and other healthcare providers to assist in the determination and/or eligibility for insurance and financial benefits.
• Prepares reports as required and assigned.


Referral Coordination
• Processes Specialty Referral Forms and checks Specialty Referral Forms for accuracy and completeness.
• Logs all Specialty Referrals into CPS referral module; monitors status of referral to ensure timely completion.
• Completes Specialty Referral Log in CPS upon receipt of authorization or tracking number; ensures all entries are entered in a timely and accurate manner.
• Assist patients to schedule appointments with the specialty provider.
• Provides location map, consultant address and phone number, authorization form and time frame for authorization, if necessary, for clients able to self-schedule.
• Faxes completed Specialty Referral Form, laboratory results, patient information, test data, and doctor's notes to other physicians and patient service consultants as necessary and directed.
• Scans completed specialty reports into CPS.
• Obtains results, test data, or doctor's notes from scheduled outside consultant appointments or procedures.
• Completes indigent medication application; obtains patient and doctor's signature for application; maintains indigent medication log and ensures appropriate documentation; notifies client upon receipt of medication.
• Conducts Ryan White eligibility as needed
• Assists with HCC retention efforts
• Fills in at other HCC locations as needed when directed by Office Administrator or Director of HCC Operations.
• Fulfills all other assigned duties within the scope the scope of work for this position as directed by the Office Administrator/Practice Manager, Medical Director or Nurse Manager
