Annually, 42 staff members provide services and education to over 2,000 people living with HIV and prevention services to over 3,500 people in our community.

Our Mission is to serve people living with or at risk for HIV with dignity and respect.

In our community, people living will with HIV receive quality care, and new infections are rare.

GENERAL DESCRIPTION:

Reporting to the­­­­­ Director of Administrative Services, the position provides support to the oral health program and mental health program.  This position collaborates with clients, case managers, financial managers, dental office manager, administration and the dental director.  Candidate(s) will have a minimum of two years of experience in a fast-paced health office, highly interactive customer service environment including experience in the dental or medical industry with scheduling and utilizing a dental management software or similar Electronic Health Record system. 

PRIMARY RESPONSIBILITIES:

  • Must be Bilingual Spanish. This is a requirement for position.
  • Adheres to Punctuality and Attendance requirements by arriving to work early and or on time.
  • Appropriately receives, opens, sorts and distributes mail on a daily basis
  • Assist with reconciling daily cash receipts, and/or credit card payments.
  • Assist in scheduling transportation for clients and distributing transportation cards as

Needed.

  • Assist with other office duties as requested as needed.
  • Directs clients to complete and sign medical history form and consent for all services and treatments.
  • Greet patients and provide a welcoming, interactive patient experience in person and over the phone.
  • Manages front office by answering incoming calls, checking-in and checking-out patients, as well as collecting and posting client payments.
  • Maintain a full schedule of clients and reviews clients files prior to office visit.
  • Obtains client insurance information, documents properly, and assist with insurance verification.
  • Participate in agency meetings, work sessions and events as requested.
  • Properly enters client data and/or documentation into Dental software and Provide Enterprise.
  • Properly receives, records, and logs all monies into the daily cash receipt log sheet.
  • Respond to voicemails and emails in a timely manner.
  • Schedules and confirms client appointments.
  • Scan and e-fax information (check incoming faxes and scan into appropriate software).
  • Verify patient information and eligibility of oral health services including Provide Enterprise, Certification/re-certification of Ryan White, medical labs, and HIPAA/privacy forms.

 

 

QUALIFICATIONS:

High school diploma or equivalent; bi-lingual Spanish skills required; front office experience; dental software experience, MS office experience, knowledge and familiarity with dental insurance, excellent communication and interpersonal skills; organized with the ability to prioritize and multi-task; punctual and dependable.

 

EMPLOYMENT STATUS:
