Job Summary:

The QM Data and Compliance Specialist supports the implementation and sustainability of a comprehensive Quality Management Program. This position is responsible for auditing client files and program data to ensure participant eligibility, accurate documentation, and overall adherence to the grant funded services and standards of Care.  This role is responsible for supporting the compliance of client-level and program-level data, while driving continuous quality improvement (CQI) efforts to enhance health outcomes and service delivery for people living with HIV.

 

Key Responsibilities:

  • Comply with Chart Audit protocol to conduct consistent and thorough audits of client files and program records to verify:
    • Participant eligibility based on income, diagnosis, and residency requirements
    • Proper documentation for standards and regulatory compliance
    • e2Fulton and other data as required
  • Identify and flag discrepancies, missing documentation, or compliance issues, and collaborate with case managers or program staff to resolve them
  • Maintain detailed audit records, findings, and corrective actions taken
  • Support monthly, quarterly, and annual data reporting requirements for grants
  • Participate in internal and external audits, site visits, and monitoring reviews
  • Assist with training and technical support for staff on proper documentation, eligibility requirements, and data entry procedures
  • Collaborate with leadership to update internal procedures and improve compliance processes
  • Stay informed about current grant regulations, updates, and best practices

Compliance Monitoring

  • Conduct monthly data audits to ensure programmatic and contractual compliance with grants related standards such as RW Part A and EMA standards of care, HRSA HAB standards, the National Monitoring Standards, other grant standards and agency-specific policies.
  • Collaborate with program staff and leadership to ensure compliance with quality performance measures and timely corrective action when necessary.
  • Document and track findings, recommendations, and follow-ups from monitoring visits and QI initiatives.

Qualifications:

  • High school diploma plus a minimum of 2 years of experience in use of health record databases/EMRs, HIPAA and confidentiality compliance, and report writing.
  • Ability to identify gaps & recommend corrective actions
  • Technical and analytical skills
  • Proficiency with Excel
  • Demonstrated ability to work collaboratively in a diverse and multicultural environment.
