This position is based in Phnom Penh, Cambodia.

 

Responsibilities

  • Assist the Asia Bureau Chief (ABC) for reporting of the activities, progress and updates on monthly basis on project activities and quarterly reports;
  • Assist the ABC to conduct and regularly check the program planning, monitoring and evaluation of the project outline of the regional countries;
  • Assist in providing arrangements to the ABC  including maintaining the calendar and meeting schedule;
  • Attend key meeting between the ABC with others like regional countries, donors, headquarter, staff and other stakeholders. Take notes and prepare summary records;
  • With guidance, write, edit, and circulate key letter, memos, reports, correspondence and      announcements for variety of internal and external meeting;
  • Prepare monthly report and budget control for Petty Cash;
  • Maintain electronic and file record system;
  • Collect information, report, letters, proposals and other documents from the countries in the AB Region;
  • Make travel arrangements and other preparations for ABC travel and others as assigned;
  • Organize local logistics, supervise and manage the itinerary for consultants, or visitors;
  • And any other task as assigned by ABC.

Qualifications

Education and/or Experience

  • Bachelor's degree (or equivalent) in Business Administration or Finance, or development studies;
  • At least 7-10 years administrative experience;
  • Some management experience preferred.

 

Other Qualifications

  • Be a Cambodian national;
  • High proficiency in advanced secretarial, financial, logistic, administrative concepts, practices and procedures;
  • Ability to manage finances, accounts and financial reports;
  • Ability to make decisions and use judgment with own initiative relating to work in order to ensure smooth running of the office;
  • High judgment, discretion and responsibility to handle confidential information;
  • Demonstrated ability to multi task and be able to meet deadlines;
  • Excellent demonstrated written and  verbal communication skills (in English), including writing e-mail – with government, partners and colleagues;
  • Proficiency in the use of computers and related software, including Microsoft Word, Excel, Power Point, Microsoft Outlook and other related programs;
  • Willingness to travel both in country and abroad;
  • Knowledge of fundraising, program planning, monitoring and evaluation;
  • Cross-cultural understanding of how international development agency operates, communicate well cross-culturally;
  • Self-confident and proven ability to serve as an organizational spokesperson;
  • Professional attitude, collaborative, patient and flexible;
  • Honest and ability to be committed to helping Asia Bureau to achieve its goals
