  • Develop and maintain filing systems for all AHF RUSSIA BRANCH records and correspondence
  • Prepare contracts and amendments for partners (based on the template developed and agreed with the Branch director, EB and LA);
  • Submit and track the contracts and amendments at all levels of the AHF Branch, EB and LA levels;
  • Keep records and regularly update contract register;
  • Ensure all originals of the signed contracts between AHF Russia and partners are received from the partners and are kept by AHF Russia;
  • Provide assistance in the framework of the finance audit regarding originals of the documents and inventory of the assets;
  • Maintain relevant written documents on issues related to logistics and administration of programs of the AHF RUSSIA and office;
  • Keep an Inventory of AHF RUSSIA assets
  • Ensure cost effectiveness in the use of materials, resources, utilities, phone, etc
  • Provide Logistical support for HIV tests and medicines procurement and distribution to partner sites (sites needs collecting and assessment, procurement process: negotiating with supplier, request to supplier, bids collecting for tender, goods receiving, negotiations with transport company, delivery accommodation, delivery supporting document collecting from beneficiaries);
  • Negotiations with vendors in Russia;
  • Control of the procured goods at sites and AHF stock;
  • Logistical support for AHF RUSSIA office in documents collecting related to payments (invoices, Work Acceptance Acts per Contracts, needs from RT sites and AHF-Russia office);
  • Other duties may be assigned as needed



  • Bachelor’s degree (B.A.) from four-year College or university; or one to two years related experience and/or training or equivalent combination of education and experience.
  • Basic accounting knowledge is a plus.

Other Skills and Abilities

  • Needs to be sensitive to patient population and issues surrounding HIV/AIDS;
  • Good command of up-to date knowledge and practices in HIV/AIDS treatment and care;
  • Ability to write abstracts and understand basic research concepts;
  • Good communication and interpersonal skills;
  • Ability to prepare reports, provide team leadership and guidance;
  • Be a strategic thinker, have good organizational and planning skills and ability to prioritize tasks and work quickly and accurately to meet deadlines;
  • Ability to communicate effectively in English in a variety of settings such as staff meetings, discussions with partners, and training workshops;
  • Flexible, proactive and able to organize work independently as well as work in a team.


Communication Skills

  • Ability to read and interpret documents such as policy documents, safety rules, operating and maintenance instructions, and procedure manuals;
  • Ability to write reports and correspondences;
  • Ability to speak effectively before groups of employees or other people.


Computer/ software skills and abilities:


  • Use of MS Office (Word, Excel, PowerPoint); MS Outlook
  • Working knowledge in MS Project preferred


Ability to analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.



Basic Skills: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent to draw and interpret bar graphs.



High Skills: Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

  • Fluency in Russia n and English required.
