Job Summary:
Under the general direction of the Director of Payroll, coordinates and performs and supervises all activities necessary to process payrolls, including maintaining related records, tax reports and voluntary deduction reports, processing involuntary deductions such as levies and garnishments, preparing accounting transactions and documents, documenting and updating procedures, and preparing special reports for senior management. Leads a team of 3 to 4 Payroll Coordinators and/or Specialists. Well-developed verbal and writing skills are required to consult with management, and employees, regulatory and outside agencies.

 

Essential Duties & Responsibilities:
Includes the following. Other duties may be assigned.
• Provides direction and assistance to department staff regarding payroll processes. Coordinates the workload of the Payroll department. Monitors staff workload based on input from individual specialists and gives recommendations to the Director of Payroll for final decisions on actual adjustments to workload. These tasks include the responsibility of processing a share of payroll related activities.
• Performs all the duties of a Payroll Specialist, which includes not only processing pay, withholdings, and generating payroll reports. Ensures accurate accounting and reporting on all payroll related expense and liability accounts.
• Responsible to process and submit all companies-payroll wires, to include 401K reporting.
• Uses computer and various software programs to input, maintain, research, and retrieve information. Participates in changes to the HR/Payroll computer system by assisting the Director of Payroll with testing and rule/validation table changes.
• Assist the Director of Payroll with various audits.
• Completes quarterly and yearly tax reports and W2s. Stays current, complies and provides interpretations on various rules, regulations, laws, contracts and policies. May work with government agencies, auditors and/or other companies (ADP) to resolve problems and provide requested information.
• Coordinates, develops and maintains written documentation regarding payroll procedures and processes necessary for reference and training materials.
• In the absence of the Director of Payroll, coordinates the daily payroll activities and functions to ensure smooth operations.
• Maintain Payroll Records- Electronically - Payroll download reports file and saved.
• Performs other related duties or projects as assigned.
• Coordinates, develops and maintains written documentation regarding payroll procedures and processes necessary for reference and training materials.
• In the absence of the Director of Payroll, coordinates the daily payroll activities and functions to ensure smooth operations.
• Ability and willingness to work overtime and some weekends when needed.
• Performs other related duties or projects as assigned.

 

Participation in AHF Meetings/Committees
Attend AHF Meetings as assigned.

 

Supervisory Responsibilities
As assigned.

 

Minimum Qualifications:
• Associate degree or two years of college-level coursework in accounting, business or related area is required.
• Relevant experience may substitute for the degree requirement on a year-for-year basis.
• Five years plus of progressive work experience in complex payroll processing with quarterly and/or annual payroll tax reporting responsibilities.
• Requires the knowledge of basic accounting principles with an understanding of payroll processing, tax withholding, mathematical calculations and fund accounting.
• Strong verbal and written communication skills; detail oriented; and able to apply complex salary and compensation calculations in processing payroll.
• Ability to analyze and interpret data for accuracy.
• Must have substantial recordkeeping experience. Good interpersonal skills and demonstrated ability to lead, train, and coordinate the work of others.
• Must be proficient in use of computers, including ADP systems software, Excel spreadsheet and Microsoft MS Office processing software.
• Proficient in use of 10-key calculator by touch is required.
