    Essential Duties and Responsibilities:

    • Maintains executive’s appointment schedule by planning and scheduling meetings, conferences, teleconferences, travel and expense reconciliation.
    • Maintains the confidential nature of the executive assistant’s duties in the execution of all duties at all times.
    • Conserves executive’s time by reading, researching and routing correspondence, drafting letters and documents, collecting and analyzing information.
    • Composes and types routine correspondence and department documents independently and on behalf of leadership.
    • Prepares reports by collecting and analyzing information.
    • Compiles a comprehensive portfolio of division reports and assures routine reports are distributed to the appropriate parties on an ongoing basis.
    • Practices effective electronic document management on shared drives and within SharePoint and establishes/maintains an efficient physical document filing system.
    • Manages assigned areas of EZTime system.
    • Manages assigned areas of Concur system.
    • Processes and prepares invoices and check requests for approval, in coordination with the office receptionist.
    • Assists Chief of Managed Care in the preparation of reports and presentations for internal and external use
    • Develops and maintains professional knowledge of health care delivery systems and how they relate to the AHF enterprise, i.e., Managed Care, Ryan White and other health system contracts, regulations and accreditation requirements:
      • HIV/AIDS financing structures, i.e., Medicare, Medicaid and Ryan White Care Act
      • Local requirements, e.g., Ryan White Planning Council standards,
      • State requirements, e.g., California Title 22 and Knox Keene Act, Florida Statute 641 health plan licensing regulations, and other state requirements as needed for AHF Managed Care expansion projects
      • Federal requirements, e.g., Code of Federal Regulations, Title 42, §417, Medicare guidance for MA-PD SNPs
      • Accreditation standards, i.e., AAAHC, NCQA
      • PPACA Health Reform
      • Compliance standards
      • Managed Care information systems, e.g., QualMetrix, Kaviva, HealthSuite, Concur, EZTime/Labor, and other added systems.
    • Oversees reception staff to assure that customers, guests and AHF personnel are greeted and issues addressed in a timely and professional manner.
    • Other duties as assigned.

       

    Supervisory Responsibilities:

    This position has supervisory responsibilities to oversee daily front office operations, which will be executed by the Linn House Reception position. In addition to outlined tasks the receptionist will also assist in assigned tasks per the Executive Assistances directive.
