    Summary:

    The Operations Assistant is responsible for projecting and integrating the Mission and Core Values of the AIDS Healthcare Foundation (AHF) within and outside of the Public Health Division (PHD).

     

    Under the supervision of the Operations Manager, the Operations Assistant will be responsible for assisting with the logistical and administrative operations and the quality assurance structures and processes of PHD with a focus on grant-funded sites in Los Angeles. The position involves a blend of office and field work.

     

    Essential Duties and Responsibilities:

     

    • Fulfills administrative support for PHD.
    • Provides programmatic support for grant-funded sites in Los Angeles.
    • Assists in the daily office operations of the PHD Main Office.
    • Assists in the management and maintenance of on and off-site HIV/STI test kit and condom storage facilities according to federal, state and local health regulations, including external control procedures.
    • Handles large volume and bulk deliveries of test kits and condoms.
    • Assists in the management of PHD inventory, including condoms and test kits and in the maintenance of grant-funded test kit and supply inventories for regional PHD Sites.
    • Submits accurate PHD inventory reporting.
    • Assists in maintaining an adequate stock of supplies for regional PHD Sites and assists in the submission of their monthly supply requests to PHD Operations.
    • Assists in the order fulfillment of supply requests, including condoms and test kits, from PHD/AHF locations and AHF Partners. Conducts the deliveries of supplies to regional PHD Sites and coordinates the distribution of shipments throughout the US.
    • Assists in ensuring cost containment in the purchasing of supplies for PHD Sites through price comparisons of third-party vendors.
    • Assists in maintaining accurate records of shipping and shipping documents.
    • Coordinates weekly and monthly physical counts for regional PHD Sites
    • Assists in the completion of monthly inventory reconciliation reports for regional PHD Sites
    • Assists in the submission of grant-related inventory and supply usage reporting for regional PHD Sites.
    • Assists in the maintenance of PHD’s digital system and relevant applications.
    • Assists in the implementation and management of Quality Assurance (QA) and compliance policies, systems, processes and standard operating procedures for regional PHD Sites.
    • Responsible for maintaining the security and confidentiality of records relating to clients’ personal information and status as a client.
    • Assists in the entry of testing data and information as necessary for regional PHD Sites.
    • Follows quality assurance policies and performs quality controls to ensure the accuracy of PHD data reporting.
    • Assists and coordinates with the reporting and submission processes of PHD testing data for AHF and Jurisdictional purposes.
    • Assists in resolving testing data exceptions in the submission of data to State Jurisdictions.
    • Assists in the submission of HIV discordant and surveillance reporting to the local jurisdiction for regional PHD Sites.
    • Transfers and handles all HIV & STI specimens to Laboratories as necessary. Coordinates with PHD Teams for the timely and accurate transport of specimens according to federal, state and local health regulations.
    • Transports and handles Biohazard Waste for Regional PHD Sites according to federal, state and local health regulations.
    • Recognizes the importance of safety in the workplace, follows safety rules, practices safe work habits, utilizes appropriate safety equipment and reports unsafe conditions to the appropriate administrator.
    • Assists in the maintenance of vehicles and equipment for the regional Mobile Testing Program. Ensures mobile and operations vehicles and equipment are properly maintained and used according to organizational policy.
    • Assists with operational functions for testing services at community events as assigned.
    • Responsible for continuing education and keeping up-to-date with certifications and proficiencies through job-provided training or job-related educational opportunities.
    • Must have a valid driver’s license
    • Ability to carry 50 lbs.
    • Other duties as assigned
